We arrive early and stay late as the calm, experienced presence that makes everything manageable. We train volunteers, manage all vendor operations (sound checks, stage setup, catering, photo timing—everything), troubleshoot problems before they impact guests, run registration from check-in to check-out to post-event reports, handle stage management and program flow, and support you throughout the evening. You don't have to be the person everyone turns to when something goes wrong—that's our job.

Final Logistics Plan

Event day runs smoothly when every detail is documented. We create a comprehensive plan: detailed packing lists, signage with specific text and placement, volunteer assignments, vendor confirmations, registration setup with station layouts, and room flow diagrams. Your team isn't improvising—they're following a clear, proven playbook. 

 

Vendor Coordination

We book and oversee all your vendors (you hold the contracts with them): venue, AV, photography, printing, catering, décor, entertainment, and registration platforms. We manage all communications, timing, technical requirements, and logistics. We track vendor expenses against your budget, ensure vendors deliver on their commitments, and flag any issues before they become problems.

 

Data Management

We configure your entire event database, handling all the technical setup while you provide content and information. We enter everything: sponsors with their benefits, pre-committed gifts, auction items (you provide info, we enter it), and all guest names and contact information. We meticulously organize your database by correctly linking households, eliminating duplicate allocations, assigning tickets and bid numbers properly, and coordinating seating strategically. We’ll reconcile all data at the end of event night and make sure you have all the reports necessary for follow-up.

Event Registration

We prepare everything you need: bid cards ready to print, labels with names and table numbers, all registration materials organized. We're onsite managing your entire registration operation: training volunteers, handling check-in/check-out, handling walk-ups, and resolving issues. We take care of all live data entry during your event—auction purchases, raffle tickets, appeal donations—everything is entered and reconciled in real time so attendees can quickly check out at the end of the event. We provide summary reports, process credit card batches, and send receipts to attendees. Your data is clean and ready for follow-up. We can even provide the professional hardware needed for event registration as an add-on.

 

Stage Program Production

You have a script. Great! But does your AV team have their cue version? Do speakers have an easy-to-read podium copy? Do vendors have a run of show? We create show-ready formats for everyone: Run of Show for vendors. General Script for speakers. AV Script with technical cues. Podium Script with large font and clear breaks. Everyone has exactly what they need. We’ll also be there to stage manage the show, helping speakers feel calm and making transitions smoother.

 

Volunteer & Fundraising Activities

We create a comprehensive volunteer plan outlining specific roles, responsibilities, and timing for each position. We ensure your auction packages are set up appropriately to maximize appeal and ease of bidding. We verify all sales elements are ready and provide recommendations for packaging and presenting items to encourage competitive bidding. We generate all bid sheets, bid placards, and sales sheets in your event software, ready for printing. We prepare raffle tickets and sales sheets. We train all your volunteers on event day for registration, greeters, silent auction, and raffle. They arrive uncertain; we make them confident and clear about their roles.

What You'll Focus On

Give us access to your script, budget, vendor contacts, and database. Review and approve our recommendations. All donor and sponsor communications stay with you—we manage systems and data, but relationships remain yours. On event day, show up ready to connect with donors, tell your story, and invite generous support.
